Overview: The duties of the Life Insurance Administrator will include storage and maintenance of the original enrollment form files, collaboration with the Secretary/ Treasurer of MSFA on all new enrolled employees and retirement of employees, regular reconciliation of the database, occasional contacts made with HR/ Payroll offices of municipal Fire Departments and Fire Districts. Infrequently, the Administrator will assist with the filing of a death claim.
Hours: On average, the position will require 5-10 hours per week. The Administrator will be expected to travel occasionally for trainings, annual convention and possibly to assist members and their families with a death claim.
Essential duties and responsibilities:
Coordinate with MSFA Sec/ Treasurer on a regular basis, typically once per week.
Make and receive phone calls, texts, messages relating to life insurance questions by members and agencies.
Track changes of the master database on a shared file with Sec/ Treas.
Email correspondence with Sec/ Treasurer and Executive Board as needed on issues relating with the life insurance policy, membership details and enrollment form changes.
Work with Sec/ Treasurer to improve processes for the life insurance program for MSFA members.
Maintain a modest office space to store master, hard-copies of the database, policy and other related documents.
Coordinate with DiMartino and Associates, Standard Insurance and other administrators of the policy.
Other duties as assigned by the Executive Board and Sec/ Treasurer.
Proficient use of Excel, Word, Teams, Zoom, One Drive/Office 365 is preferred.
Good communication skills- verbal and written
A basic understanding of Montana laws regarding life insurance.
A good understanding of the MSFA Term Life Insurance Policy and its benefits.
A stipend of no less than $100 per month will be paid during the term of the office. ($200/ month is a standard for other appointed positions).
A $100/ month phone reimbursement will be paid to compensate for the use of a personal phone.
All travel, training and meetings approved by the Executive Board will be reimbursed for mileage, per diem, room and other expenses the same as other Executive Board members as outlined in the MSFA C&BL. A Travel/ Training request form is available on the website.
Equipment provided by MSFA:
A computer will be provided as needed and as approved by the Executive Board.
A printer/ scanner will be provided for the purposes of copying, scanning and sharing digital documents with the Sec/ Treasurer and Executive Board.
A file cabinet will be provided with the existing master database files.
Other necessary equipment may be provided as approved by the Executive Board.
Life Insurance Administrator. It shall be the duty of the Life Insurance Administrator to receive all new enrollment forms, edit current enrolled members, coordinate with members agencies to maintain an accurate database file for insurance benefits as needed for the member and their dependents, and perform all other duties assigned by the Secretary/Treasurer.
The position of Life Insurance Administrator must be applied for.
Members interested in the position, shall be required to apply for the position by submitting a resume and participating in an interview process with the executive board in order to be selected.
The member shall be selected by consensus of the Executive Board.
The member selected for the position shall serve for a period of 2 (two) years and will be required to reapply to be considered for the position.
All of which must be members in good standing of the Association or retired members of Firefighters Unified Retirement System.
The Executive Board shall be given full discretion over the position and empowered to remove a person from that position for just cause.
